How it works

From a ringing phone to a booked chair.

Five steps. Nothing to install, and nothing the patient has to figure out. Your team reviews the emails and calls people back.

  1. Call comes in. When your phone system forwards it, we answer as your clinic.

When your front desk doesn't pick up (busy with a patient, at lunch, or closed), the call forwards after a set number of rings (you choose how many), and the assistant answers and books, during the day or after hours. If the assistant is ever unavailable, callers can leave a message on voicemail.

  2. The assistant listens and takes the details.

Name, callback number, a one-line reason in the patient's own words, and whether they say it's urgent.

  3. Callers hear a standard 911 notice.

Each call the assistant answers opens with: "If this is a medical emergency, please hang up and call 911." If a caller mentions an emergency or serious symptoms, the assistant gives one standard notice: call 911 or go to the nearest emergency department, and then still books them or takes a message. It does not decide whether something is an emergency.

  4. The assistant books into the reserved times on your clinic's Google Calendar; your team then enters each booking into your practice software.

The patient hangs up with a booked time and a confirmation text. If they'd rather not book, the assistant takes a message for your team instead.

  5. Your front desk gets one email notification per call, to enter into your system.

One email per call the assistant answers: who rang, what they needed, what was booked, and anything a human should follow up on.

Simulated example

A sample call.

Simulated example, not a real patient.

  1. Automated Assistant

Thank you for calling. This is an Automated Assistant.

Automated-assistant disclosure. The caller hears that this is not a person.

  2. Automated Assistant

If this is a medical emergency, please hang up and call 911.

The 911 line. The assistant does not decide what is an emergency.

  3. Jordan Lee

Hi, this is Jordan Lee. I'd like to book a cleaning.

  4. Automated Assistant

Thursday at 2:30 is open on the clinic calendar. Should I book that?

  5. Jordan Lee

    Yes, please.

  6. Automated Assistant

You're booked for Thursday at 2:30.

That time is a slot the clinic controls. The team enters the booking into their own system.

  7. Automated Assistant

    You'll get a confirmation text.

Boundaries

What it will not do.

  • No diagnoses.
  • No clinical advice.
  • No assessing symptoms or deciding what's an emergency.
  • No quoting prices or insurance.
  • No payment details.
  • If our system is ever unavailable, callers may leave a short voicemail.
